[Your Legal Company Name] (ABN [ABN]) ("Keyhand", "we", "us") respects your privacy and handles
personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy
Principles (APPs). This policy explains what we collect, how we use it, and your rights.
1. Information we collect
- Account & profile: name, email, phone, role, agency details, and (for agencies) business
identifiers such as ABN and licence details.
- Transaction information: listings, enquiries, messages, documents, offers/applications,
inspection bookings, and related business or financial information you or others share in a deal
room.
- Usage & technical: device and log data, pages viewed, and a hashed representation of your IP
address used only for security and abuse-prevention (we do not store your raw IP).
- Cookies: essential cookies to keep you signed in and secure the service.
2. How we use your information
To create and manage your account; to provide the deal room, messaging, documents, inspections,
offers and settlement features; to route enquiries to the relevant agency; to secure the platform
and prevent abuse; to provide support; to process payments; and to meet legal obligations.
3. Confidentiality of deal information
Information you share inside a deal room is disclosed only to the parties you (or the managing
agent) choose to include, according to the access controls of that deal. We do not sell your
personal information, and we do not disclose the contents of a deal room to unrelated parties.
4. When we disclose information
- To other transaction parties, as directed by your actions on the platform (e.g. enquiring,
being granted deal-room access, submitting an offer).
- To service providers (subprocessors) who help us run Keyhand (e.g. cloud hosting,
authentication, email delivery, payments), bound to protect your data.
- Where required by law, or to protect our rights, users, or the public.
5. Storage and security
We host data in Australia and apply technical and organisational safeguards, including encryption in
transit, database-level access controls that isolate each tenant's data, and least-privilege
access. No system is perfectly secure, but we take reasonable steps to protect your information.
6. Overseas disclosure
Some service providers may store or process data outside Australia. Where they do, we take
reasonable steps to ensure your information is handled consistently with the APPs.
7. Retention and deletion
We keep personal information only as long as needed for the purposes above or as required by law.
When an account is deleted, associated personal data is removed after a short grace period, except
where we must retain records to meet legal or legitimate business obligations.
8. Your rights
You may request access to, or correction of, your personal information, and you may ask questions or
make a privacy complaint by contacting us at [privacy@yourdomain]. If you are not satisfied with our
response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
